Factors Affecting Processing Time

Live Capture vs Manual

Missions with Live Capture equipment process applications faster because biometric data is transmitted electronically. Manual applications require physical courier via diplomatic pouch, adding 1-2 weeks.

Peak Periods

December-January and June-July see higher application volumes. Processing can take 2-3 weeks longer during these periods. Apply well in advance of peak travel season.

Mission Location

Major missions (London, Washington DC, Canberra) typically process faster than smaller missions. Proximity to courier routes and diplomatic pouch frequency affect transit times.

Application Issues

Incomplete forms, missing documents, or discrepancies in personal information can cause significant delays. Ensure all documents are complete and accurate before submission.

Frequently Asked Questions

Standard passport applications cannot be expedited at most missions abroad. However, if you have a genuine emergency (medical treatment, family death, urgent business), the embassy can issue an Emergency Travel Certificate in 1-3 working days. This is a single-use document for emergency travel only.

Applications submitted abroad must be transmitted to the DHA in Pretoria for processing. This involves either electronic transmission (Live Capture) or physical courier via diplomatic pouch. The return journey adds further time. Additionally, missions abroad handle smaller volumes, so batches may be shipped less frequently.

Apply at a mission with Live Capture equipment and opt for doorstep delivery (available since November 2025). This combination gives the fastest processing and delivery. Alternatively, apply through VFS Global centres which also use electronic data submission.
