Factors Affecting Processing Time

Live Capture vs Manual

Missions with DHA Live Capture equipment transmit biometric data electronically, saving 1-2 weeks versus manual (paper) applications sent by diplomatic pouch. VFS Global centres also use Live Capture.

Peak Periods

December-January and June-July see higher application volumes. Processing can take 2-3 weeks longer. Apply well in advance if you have travel planned around school holidays.

Mission Location

Major missions (London, Washington DC, Canberra) typically have more frequent diplomatic pouch runs. Smaller missions may batch applications less frequently, adding transit time.

Incomplete Applications

Missing documents, incorrect forms, or discrepancies in personal information can cause significant delays. Ensure all documents are complete and accurate before submitting.

Frequently Asked Questions

At a mission with DHA Live Capture equipment (or VFS Global), approximately 5 weeks. At missions using manual (paper) applications, 6-8 weeks or longer. Within South Africa, processing takes 4-6 weeks standard or 2-4 weeks at Live Capture offices. All passports are printed at the Government Printing Works in Pretoria.

Standard passport applications cannot be expedited at most missions abroad. However, if you have a genuine emergency (medical treatment, family bereavement, urgent business), the embassy can issue an Emergency Travel Certificate (ETC) within 1-2 working days for R140. This is a single-use document for emergency travel, not a full passport.

Applications abroad must be transmitted to the DHA in Pretoria for processing and passport printing. This involves electronic transmission (Live Capture) or physical courier via diplomatic pouch. The printed passport must then be sent back to the embassy via secure transit. This round-trip adds 2-4 weeks compared to domestic processing.

Within South Africa, SAPS processes police clearance certificates in approximately 15 working days from receipt of all documents. From abroad, the total time is 6-8 weeks because you must have fingerprints taken (at an embassy or local police station), courier the SAPS 91(a) form to Pretoria, wait for processing, and arrange collection. The PCC is valid for 6 months from the date of issue.

Smart ID cards are not generally available at South African missions overseas. Most overseas South Africans must apply when visiting South Africa at a DHA Live Capture office (processing: 7-14 working days). Exception: SA government employees stationed abroad may apply at their nearest mission. Your green ID book remains valid and is accepted for passport applications abroad.

Within South Africa, an unabridged birth certificate takes 6-8 weeks. From abroad (via an SA mission), it takes 8-12 weeks. The first copy is free; additional copies cost R75 each. Unabridged birth certificates are required for child passport applications and international travel with children.

Contact the embassy or VFS Global centre where you applied for a status update. You can also try the DHA online portal using your reference number. Some missions send SMS or email notifications when your passport is ready for collection or dispatch.

Apply at a mission with Live Capture equipment or at a VFS Global centre (both use electronic data transmission). Opt for doorstep delivery (available since November 2026 in London, Dubai, Perth, Auckland, New York, Ottawa, Berlin, and The Hague) to save a second embassy trip — delivery takes 24-72 hours once the passport arrives at the embassy.
